Terms of Service for clubs
Last updated: 20 October 2026
Onze juridische teksten zijn beschikbaar in het Grieks en Engels. Dit is de Engelse versie.
These terms govern the use of the JOLE console for padel clubs (JOLE Club Manager). They form an agreement between the club that uses the console and our company. Here you will find what we provide, what you pay and when, how you stop, and what applies to data. The terms for players of the JOLE app are separate: Terms of Service for players.
1. Who we are
AUDIVION L.P., 47 Solonos St., Kolonaki, Athens 10672, Greece, VAT EL802838365, GEMI 183697103000. Email: hello@jolepadel.com.
For any matter concerning these terms, write to us at hello@jolepadel.com.
2. What the service is
JOLE consists of the app for padel players (app.jolepadel.com) and the console for clubs. Through the console the club sees players' games, receives court requests from the app, confirms courts, receives lesson requests with its coaches, manages its booking calendar and communicates with its players.
The service is provided over the internet. We do not sell you an installation licence and we transfer no rights in the code.
Today there is no automatic club sign-up. You contact us through the form on jolepadel.com or by email, and we open the club's account.
3. The service and the prices
3.1. One product, no fixed fee
JOLE Club Manager AI is provided with no fixed subscription, no activation fee and no minimum monthly charge.
Access to the console and use of its tools carry no separate fixed fee. The club owes only the per-participation charges described below, where the conditions of section 4 are met.
The initial acceptance of the contract and the price list covers later use of the service by the club's authorised users. No new acceptance of charges is needed for each game, assignment or participation.
3.2. Price list per participation
For each time in its calendar the club chooses one of three forms:
a. Simple booking — 0.00 €.
The club closes the court in its calendar, with or without a customer. Names or notes about the other players are recorded as plain text of the booking: they create no accounts, JOLE participations, invitations or notifications and are not charged.
b. Closed JOLE game — 0.25 € per participation from the club's invitation, or 0.50 € per participation from an assignment to the club's JOLE AI.
A game by invitation only, not shown among the open games. Every seat is a player with a JOLE account who accepted the participation; the club does not enter players directly. A participation that comes about when the player accepts an invitation from the club, including inside the app, is charged 0.25 €. A participation that comes about when the player accepts a valid invitation sent by JOLE as part of a recorded assignment by the club to fill seats is charged 0.50 €, without the game being published. A participation from another player's invitation is charged 0.40 €.
c. Open JOLE game — 0.25 € per participation from the club's invitation, 0.40 € for a player who joins on their own through the app, or 0.50 € for a player brought by the club's JOLE AI.
A game the players of the app can see. Every final participation is charged. A participation that comes about from accepting an invitation from the club is charged 0.25 €. A participation of a player who finds the game in the app and joins on their own, or through another player's invitation, is charged 0.40 €. A participation that comes about when the player accepts a valid invitation sent by JOLE as part of a recorded assignment by the club to fill seats is charged 0.50 €. Each participation is charged at only one of these prices, never cumulatively.
The assignment can be given by a specific instruction of an authorised user, or can come from an automation that the club has expressly switched on, within the limits of that automation. The player's own use of the assistant is not in itself an assignment by the club.
Conversion. If the club opens a closed JOLE game, the existing participations keep their origin and price, without a new acceptance. If the club turns a simple booking into a JOLE game, the names of the booking do not become participations: every seat is filled by an invitation, a participation through the app or an assignment. Changing the form, removing and re-adding the same player, and cancelling and re-creating the same booking do not change the origin of a participation.
Example: two participations from the club's invitation, one from a player who joined on their own through the app and one from an assignment to JOLE AI in an open JOLE game create a net fee of 1.40 €. A simple booking with four names creates no fee.
3.3. How the origin is determined
The origin is determined by the route through which the specific player successfully takes a seat in the specific game.
Sending an invitation, without acceptance and a successfully taken seat, creates no charge.
The fact that a player is already a customer of the club, has played there before or has declared availability does not on its own determine the charge category.
If the same player leaves and returns to the same game, the original origin of their participation is kept, unless a documented error is being corrected.
If a booking is moved or replaced with a new entry that is demonstrably linked to the original, the mere change of entry does not change the origin.
When a player is replaced, the origin of the final active participant is taken into account. The player who left and the replacement are not charged separately for the same final seat.
Any correction of origin is recorded with a reason. The club can dispute the record under section 5.
3.4. Using the automatic matchmaker
With the instruction to fill seats, the club asks for the service to be performed under the price list it has already accepted. No second confirmation of the amount is needed.
JOLE looks for suitable participants and sends invitations within the operating limits of the assignment. It does not guarantee that all seats will be filled.
There is no charge for the number of invitations, search rounds or seats that were not filled. Only final active participations that meet the conditions of section 4 are charged.
The club can stop the assignment from the console. New invitations then stop and the pending invitations of that assignment are cancelled. Participations already accepted remain active and keep their origin.
3.5. Tournaments
This pricing concerns stand-alone games of four participants.
These terms introduce no charges for registrations, participations, individual matches or rounds organised through JOLE's tournament feature. The per-seat charging mechanism does not apply to them.
Any future pricing of tournaments requires separate notice and acceptance under section 6.
3.6. VAT and player payments
The prices are net amounts. VAT is added where required, according to the place of taxation and the tax treatment of the specific transaction.
The monthly statement shows separately the net amount, the VAT or the exemption or reverse charge that applies, and the amount payable.
Players are not charged by JOLE for using the app, finding a game, the games or the courts. The price of the court and of the club's services is set and collected by the club directly from the players.
4. When a charge arises
4.1. Conditions
The per-participation charge is recorded at the scheduled start time of the game, provided that at that time all of the following conditions are met:
a. The game has four confirmed active participants.
b. The court has been confirmed by the club through the JOLE console, manually or through an automation the club has switched on.
c. The game has not been cancelled before it starts.
d. The specific participation falls under the chargeable mode activated under section 6 and has not been marked as free or exempt.
Recording the charge at the start is not an immediate card payment. Collection takes place in aggregate under section 5.
4.2. When there is no charge
There is no charge for a game with fewer than four confirmed participants, without a confirmed court, or cancelled before it starts.
A player simply choosing or declaring a court is not a confirmation by the club and is not enough to create a charge.
A slot hold is not a game, has no participations and remains free of charge.
Each final seat is charged only once.
Lessons with the club's coaches, from the app or from the console, are not charged: they are not JOLE games and have no participations.
4.3. No-shows and errors
JOLE's fee is for the service of finding and confirming participation. It is not a guarantee that the player will physically attend.
A later report that a player did not show up does not automatically cancel the charge.
The club can still dispute and have corrected a wrong origin, a double charge, a technical error, a wrong confirmation or a documented case where the game did not take place. This procedure is different from the normal cancellation of a game.
4.4. Automatic court confirmation
Automatic confirmation works only if the club has expressly switched on the relevant automation.
A confirmation made within the limits of that automation binds the club in the same way as a manual confirmation.
The club can switch the automation off at any time. Switching it off does not on its own cancel bookings that are already confirmed.
Switching on automatic court confirmation is not in itself an assignment to the matchmaker to fill seats.
5. Monthly settlement and automatic payment
5.1. One aggregate settlement
Chargeable participations are calculated per calendar month, in Greek time.
Each participation belongs to the month of the scheduled start of the game for which the charge arose.
The month closes at the end of its last calendar day. The aggregate settlement is completed after the close, and automatic collection is scheduled for the first day of the following month.
Collection is made only in aggregate, once for each calendar month. There is no separate collection per game, per assignment or per participation.
If the rules of the specific payment method require a different notice period, or there is a technical delay, the collection date is moved and the club is told. The move does not change the calculation period or the agreed prices.
A month with no new chargeable participations creates no new charge. Any earlier unpaid balance is shown separately.
5.2. The "Charges" menu
When each month closes, the "Charges" section contains:
- the games included in the settlement,
- date, time and court,
- the final seats by origin,
- the price applied and the net charge per game,
- exemptions and corrections,
- net amount, VAT and final amount payable,
- any earlier balance,
- payment date and status.
The accepted price list and the contract remain available in the same section.
Before the monthly collection starts, the settlement is posted and a notice is sent to the club's billing email with the amount and the payment date.
The notice is not a request for a new approval. The club does not need to open the email or press an acceptance button for the agreed payment to be made.
5.3. Card authorisation
At the initial activation, the authorised representative accepts that the payment method is stored through Stripe and authorises AUDIVION L.P. to collect the club's monthly charges under the accepted price list.
The authorisation covers variable monthly amounts arising from the agreed use. No new contractual acceptance is needed per participation or per settlement.
Full card details are entered through Stripe. JOLE does not store the full card number or its security code. It may keep the payment identifiers and the limited display details that Stripe provides, such as the card type and its last digits.
The bank or the payment provider may ask for additional authentication or an update of the payment method. This is not a repeated acceptance of the terms for each game.
5.4. Small balances
A very small total payable balance for a month, such as 0.50 €, is not collected on its own. It is carried over to the next month and added to the new charges. The carry-over limit is the technical collection threshold shown in the "Charges" section.
The carried balance is shown separately in the monthly breakdown. It is not deleted and is not recorded a second time as a new charge. It is not increased by any surcharge or rounding.
The balance is not considered overdue because of the carry-over. The carry-over is not a failed payment and does not lead to any restriction of services.
If only such a small balance remains at the final settlement of the cooperation, JOLE waives its collection.
5.5. Invoices
The legal tax document is issued by AUDIVION L.P. through the applicable accounting procedure.
The settlement notice or a Stripe payment receipt does not on its own replace the legal tax document.
5.6. Failed payment
If a payment fails, we inform the club. The club has 30 calendar days from the first failure to settle the charge.
The unpaid amount may be retried. Retries do not create a second charge and do not restart the 30-day period.
If the 30 days pass without settlement, new assignments to the automatic matchmaker and automatic confirmation of new games are suspended. The club is told the reason and how to restore access.
New games can go ahead with manual court confirmation, unless another lawful and notified restriction applies. Manual confirmation does not remove the charges of the price list.
Bookings already confirmed are not cancelled automatically, and the club's data are not deleted because a payment failed.
5.7. Disputes and corrections
The club can dispute a specific charge from the "Charges" section or by email to hello@jolepadel.com, stating the game and the reason.
JOLE reviews the available information and gives a reasoned answer within ten working days. If more information is needed, it says so within the same period.
If a specific charge is disputed with sufficient reasons before it is collected, collection of the disputed part is suspended until the review. The undisputed amount remains payable.
If an error is found before collection, the amount is removed. If it has already been collected, a refund is ordered within five working days of the error being recognised. When the refund appears also depends on the payment provider and the bank.
Setting off against the next month happens only with the club's agreement. It is not imposed as the only remedy, especially when the club has left.
Every financial correction appears with its reason in the statement. The procedure does not limit rights granted by the applicable law.
6. Initial acceptance, activation and changes
6.1. One initial acceptance
The contract is accepted by the owner or another person with authority to bind the club.
We record the club, the user, the date and time, the version of the terms, the full text presented and its digital fingerprint, and the payment authorisation.
A copy of the acceptance and of the texts is sent to the club's email and remains available in the console.
The acceptance covers later use by the club's authorised users, within their permissions. It is not repeated at every sign-in, device, game, assignment or participation.
6.2. Start of chargeable use
Chargeable use is activated only after the following are completed:
- a. acceptance of the contract and the price list,
- b. authorisation of automatic payment,
- c. successful entry of a suitable payment method,
- d. notified activation of the chargeable mode for the specific club.
The activation date is shown in the console and in the activation confirmation.
Accepting the terms without completing the activation procedure does not on its own create charges.
6.3. No retroactive charges
Participations and assignments marked as free before activation remain free.
Games whose court was already confirmed before the chargeable mode was activated do not become chargeable because of a later acceptance.
Internal test calculations are not charges and are not carried automatically into a monthly settlement.
Acceptance after a game has started does not make it chargeable.
Any free period or special exemption is shown with a clear duration or scope. When it ends, participations already marked as free are not re-priced.
6.4. Changes to prices and material terms
Changes to prices or material terms are notified by email at least 30 days before they apply. Where a longer adjustment period is required, a longer period is given.
A new acceptance is requested for the new prices or material terms to apply. Silence or simply signing in to the app is not acceptance.
Until the date of application, the previously accepted terms apply. If the required new acceptance has not been given, new chargeable assignments and confirmations are suspended from the date of application.
Assignments, participations and confirmed games already agreed are not re-priced retroactively. Management of existing bookings and access to the contract and the charges remain available.
The club can leave without penalty under section 7.
Typographical or other non-material corrections do not require repeated acceptance. They do not change the stored history of the original agreement.
7. Ending the cooperation and revoking payments
7.1. Ending
There is no minimum term and no exit penalty.
The authorised representative can ask to end the cooperation from the "Charges" section or by email to hello@jolepadel.com from the club's registered address.
Ending takes effect when the request is recorded in the console or the email is received. We send a confirmation, but the request's effect does not depend on when we reply.
After ending, no new chargeable assignments or commitments are created. Pending invitations for new seat filling stop being valid.
Games already confirmed are not cancelled automatically. If they meet the conditions of section 4, they are settled in their month of start. If they are cancelled before they start, they are not charged.
The final settlement takes place after already confirmed items are settled. It may therefore concern a later month than the month the request to end was made.
7.2. Revoking the card authorisation
The club can revoke the authorisation of future automatic payments from the "Charges" section or by the same contact email.
The revocation stops new automatic collections from the moment it is received. It does not delete existing charges, which are paid by an available manual payment method.
For a payment that has already started, we check whether it can be stopped. The revocation is not in itself a request to refund an amount lawfully owed.
While there is no active suitable payment method and the required authorisation, no new chargeable assignments or commitments are allowed. Access to existing bookings, account details and the financial statement remains.
Ending the use of the service, revoking the payment authorisation and deleting personal data are different procedures and are shown separately in the console.
8. The account and console users
- People who use the console sign in with their email and a password. Each user account is personal and must not be shared.
- The club owner decides whom to invite to the console team and can remove a member at any time. The club is responsible for what the users it invited do.
- Whoever accepts these terms on behalf of the club confirms that they are authorised to bind it.
- You are responsible for the accuracy of the club's details and for the security of passwords. If you suspect unauthorised use, tell us at once.
- For support, authorised staff of ours may open the club's console. Every such access is logged.
9. The club's obligations
- Court prices and terms. The court price and cancellation terms are set by the club. It can declare them in the console, and the app shows them to players in the club's details. JOLE does not charge players for games or courts and does not collect money on the club's behalf: court payment takes place directly between the player and the club.
- Confirming a court. The club confirms a court only when it actually holds it for the game, and informs players in good time if something changes.
- Venue and safety. The venue, the equipment and their safety are the club's responsibility.
- The club's customers. When the club enters in the console a customer or a player who does not have the app, it must have a lawful basis for doing so and must have informed that person.
- Messages. Messages the club sends from the console are addressed only to its own players and concern its operations.
- Lessons and coaches. The club may publish its coaches' profiles in the app (name, photo, description, levels, languages) and receive lesson requests with them from players. It publishes a coach's profile only after the coach agrees, declares this in the console before publishing (we keep which user declared it and when), and takes the profile down when the coach asks. It does not put the coach's contact details in the profile. It confirms a lesson only when it actually reserves the coach and the court for it. The lesson price, payment and cancellation terms are set by the club, and the club collects payment directly from the player. The content, quality and safety of the lesson are the club's responsibility. The automation «Τα μαθήματα από την εφαρμογή επιβεβαιώνονται μόνα τους» (lessons from the app confirm themselves) is off until the club switches it on (in the «Πλήρως αυτόματο», fully automatic, operating mode it is always on); while it is on, it confirms every request at a time when the coach and a court are free, and that confirmation binds the club like a manual one. The club may link one of its coaches to the coach's JOLE account, with a one-time link the club gives them itself (JOLE sends the coach nothing), and give them, one at a time, permission to answer the requests for their lessons and permission to record a coach assessment for their students. The link and the permissions are managed by the owner and the full administrators of the console, and we keep which user gave each permission and when. Whatever the coach does with these permissions they do on behalf of the club, and it binds the club as if the front desk had done it. A coach assessment does not change the player's JOLE level, and the player can remove it at any time; it is then no longer shown to the club either. The club takes the permissions back or unlinks the coach whenever it wants; the link ends by itself when the club removes the coach from its team.
- Players' achievements. The club confirms from its console only achievements that were actually won in its tournaments or events, and may correct the details of a request before confirming it. When it refuses a request or revokes an achievement, it writes the reason, which reaches only the players in the achievement. It awards achievements only to the club's players who have a JOLE account, and podium places only from one of its tournaments that has finished; after the podium is awarded, the tournament's scores no longer change, unless it first revokes its achievements. It uploads a photo only if it has the right to use it and the consent of those who appear in it. The club is responsible for the truth of what it confirms or awards; JOLE does not check it itself. While suspended, the club does not confirm or award new achievements, and can still refuse or revoke.
- Tournament entries. When the club sets an entry fee for one of its tournaments, the club collects it itself, outside JOLE; JOLE collects nothing from it and does not take part in the payment. The entry terms the club writes are its own agreement with the players, and the club is responsible for their content. The club uses the note and the times players say they can't play only for the tournament schedule. The match schedule, the pairs the club approved and the results are seen by every player of the app who opens the tournament.
10. Data
- Data about the club's customers. For what the club records in its own system (customers, bookings, notes), the club is the data controller and we are the processor. We process this data only to provide the service and on the club's instructions; we bind those with access to confidentiality; we apply security measures, with encrypted communication and separation of each club's data at database level; we use only the providers named in the Privacy Policy and give notice of changes to them; we help the club answer requests from its customers; and at the end of the relationship we return or delete the data.
- JOLE player accounts. We manage the player's account in the JOLE app as data controller. The club sees in the console what it needs for the games played at it (name, level, reliability). The mobile number and email of the JOLE account are not shown in the console, unless the player gave them to the club themselves.
- After the relationship ends we keep the club's data for up to ninety days, so you can request a copy or return. After that we delete it permanently, except what we are obliged to keep for tax purposes.
The club has no access to players' general availability schedule through the assignment feature. It sees the participant details needed for its games, in line with the Privacy Policy.
JOLE's internal use of availability to suggest participation is different from showing it to the club.
For the contract and the charges, the necessary records of acceptance, assignment, participation, origin, payment and correction are kept, with restricted access.
These records are kept as long as needed to perform and finally settle the cooperation and, after that, only to the extent required for specific tax obligations or for the documented establishment, exercise or defence of legal claims, according to the applicable time limits and the Privacy Policy.
Details are in the Privacy Policy.
11. Assistant and automations
The JOLE AI assistant and the console's automations work within the instructions and permissions the club has given.
The instruction to use the automatic matchmaker, or expressly switching on a related automation, allows invitations to be sent within the limits of that instruction, without separate approval of each invitation.
No repeated acceptance of charges already agreed is needed.
The automatic matchmaker uses matching rules and automations. It does not require a call to a language model for each assignment or participation.
Activating the product does not silently switch on every automation. The club controls the available automations and can switch them off.
The artificial intelligence assistant can make mistakes. Data processing is described in the Privacy Policy.
12. Acceptable use
- Do not use the service for illegal, misleading or abusive content.
- Do not create fake bookings or court confirmations.
- Do not send bulk messages to people who did not give you their details.
- Do not try to bypass technical limits, decompile the software, collect data by automated means or access another club's data.
If we find a serious or repeated violation, we point it out in writing and give you a reasonable period to correct it. Suspension without notice happens only where there is a risk to the security of the platform or to third parties.
13. Availability and support
We aim for the service to be available at all times, but we do not guarantee uninterrupted operation. Maintenance takes place at low-traffic hours and is announced when downtime is expected. Changes that remove significant functionality you already use are announced at least thirty days in advance.
Support is available from the requests section of the console and at hello@jolepadel.com.
14. Liability
The service is provided as is. Our total liability for any claim is limited to the amount the club paid us in the twelve months before the event that gave rise to it. We are not liable for lost profits or indirect damage, nor for the conduct of players, such as a player not turning up to a game.
Nothing here limits liability that cannot be limited under Greek law, such as liability for intent or gross negligence.
15. Changes to terms and prices
For changes to prices or material terms, the prior notice, the new acceptance required and the protection of participations and bookings already agreed, section 6.4 applies.
16. Governing law
Greek law applies. The courts of Athens have jurisdiction. Before any legal action, both of us commit to attempting a good-faith resolution.
